Build a requirements table before drafting
Copy each requirement from the current official application instructions into a table: document, format, limit, issuer, submission route and deadline. Requirements vary between posts. For example, fellowship vacancy notices published by the Australian Society of Plastic Surgeons include post-specific application documents; do not treat one notice as a checklist for every programme.
Prepare common materials in advance, but submit only what the host requests. Confirm whether certification, translation or direct submission by a referee is required. Keep the version of the instructions used for your application.
Make the CV easy to assess
- State your current role, training dates, qualifications and registration status accurately.
- Describe relevant clinical experience and your level of responsibility; distinguish observation, assisting and primary operating.
- Group publications, presentations, teaching and quality improvement clearly, with accurate status and dates.
- Use an anonymised logbook or summary only when requested; keep patient identifiers out of application materials.
Write a learning statement with a purpose
Explain the skills you want to develop, the evidence that this host can support them, and how you will use the learning afterwards. Link your previous experience to realistic objectives for the placement's duration. A statement for an observership should reflect observation and discussion rather than promise operative activity that has not been approved.
Select referees who can describe your clinical judgement, professionalism and readiness for the proposed role. Give them the official criteria, your CV and the submission deadline, then confirm whether letters must be confidential or uploaded through a portal.
Check the submission
- Reconcile names and training dates across documents.
- Follow the stated file formats and word or page limits.
- Check the receiving address or portal against the official institution website.
- Submit with time to resolve upload problems and retain the acknowledgement.
Questions to take to the programme
- Which documents are mandatory for this specific post?
- Do referees submit directly, and are translations or certified copies needed?
- Does my statement fit the actual clinical or observational role?
